  • QuickBooks software must be installed on every computer.
  • You can store the company data file on a single server or workstation and accessed by multiple users.

  • Up to 3 users can access a file simultaneously in QuickBooks Pro.
  • Up to 5 users can access a file simultaneously in QuickBooks Premier.

Steps To Setup Multi-User Mode In QuickBooks

You can follow the below steps to set up Multi-user mode in QuickBooks.

Step 1: Install QuickBooks

  • Go to the computer where the company file is kept.
  • Install QuickBooks.
  • Select Multi-User Host Installation.

Step 2: Host Multi-User Access

  • Open QuickBooks. Go to File
  • Click on Utilities.
  • Click Multi-Host User Access.
  • If you see the option Stop Hosting Multi-User Access, it verifies that you are already hosting Multi-User Access

Step 3: Use the QuickBooks Database Server Manager to scan company file

  • Go to the computer where the company file is kept.
  • Press the Start And then click on Programs.
  • Click on
  • Next Click on QuickBooks Database Server Manager
  • Click on the Scan Folder
  • Press Add Folder button
  • Select the folder that has company files. Click OK.
  • Click Add Folder again in the case to add an additional folder.

Step 4: Prepare Company File For Additional User.

  • Add users and allow them to access the company file

Step 5: Ask Other Users To Login To The Company File

  • Open QuickBooks on other workstation.
  • Open Company file to log in.
  • Be sure to browse to the computer where the company file is stored when you open the company file.
